Free CRMs can be divided into two categories. The first one is free but limited, and the second is open source.

Free but limited CRM sets limits on the amount of free users, storage, contacts, emails etc.
Open source CRM offers an unlimited and fully functional CRM to its users. For this type of free CRM, you will need a person who will configure the CRM and install it. Because of this, open source CRM is customizable. Many open source CRM companies also offer a preconfigured version and support for a certain price.

Top 7 Free And Open Source CRM Solutions

1. Capsule CRM

le is a UK-based tech company that offers its solution for small businesses located in many countries. Capsule is free for up to two users with 10 MB of storage and 250 contacts. You can upgrade Capsule for $12 per user, per month. With the upgrade, you receive 2 GB of storage, 50,000 contacts and integration with applications such as MailChimp, Xero, FreeAgent and Freshbooks. 

Capsule’s features include an easy-to-read interface, task reminders, social media feeds and sales pipeline tracking. Thanks to its social media feed with an increasingly API-focused architecture, other companies can create programs that integrate with Capsule. 

According to the reviews, the only thing Capsule is lacking is its customer support. Capsule has a FAQs section and helpful articles posted on their site. But if you need help after hours, you may feel frustrated as they offer no direct phone service.

2. Insightly

According to Insightly’s homepage, it is the “#1 online small business CRM.” Insightly offers a free system for two users, 2,500 records, 200 MB of storage and 10 custom fields. If you upgrade for $12 per user, per month you receive: advanced reporting, 10 emails a day, 25,000 records and 1 GB of storage.

The layout of this CRM software looks like a social media page. This makes a lot of people feel more comfortable and confident that they will be able to learn how to use it quickly. There are also many options for customising and features that are particularly helpful for small business owners (such as the project management feature). It integrates with other applications such as Google Apps, Dropbox, Google Drive, Quickbooks Online and more.

Many reviewers mentioned that Insightly is not the best option for bigger businesses. The reason for this is because its functionality is not capable of handling the demands of a larger business. Also, Insightly only offers support through the online community.

3. Zoho CRM

Zoho is known as a low-cost CRM solution, but it doesn’t mean it lacks quality features. Free Zoho CRM version is available for 10 users and 5,000 records. It also comes with a mobile app and social CRM among other things. The first upgrade includes more users, more features and 100,000 records and costs $12 per user, per month.

Zoho CRM cuts down the clicks you need to make to get work done in sales, marketing and customer service tasks. Zoho offers dynamic reporting tools that allow you to create and export data. It also has the ability to link the CRM system with your social media contacts found on Twitter, Facebook and Linkedin. Zoho CRM can integrate with your iPad, iPhone, Blackberry or Android device.

Unlike other CRM softwares on this list, Zoho is not as feature-rich. According to some reviewers, when exporting, you have to be careful that there are no commas in any records, or else it will split up the record when putting it into Excel.

4. Raynet

Raynet markets itself as an easy-to-use CRM software. Raynet’s free version allows two users, 150 accounts, 50 MB of storage and customer support. For $19 per user, per month you get to upgrade to 20,000 accounts and one TB of storage.

 Raynet is aesthetically pleasing to its users. It also features an “account card” where you can see the most of the information you need about a customer from a single glance, including how valuable they are to your company.

 Raynet is a fairly new company and it is headquartered in the Czech Republic. This can make support difficult for companies that are based on other continents.

5. Really Simple Systems

Similar to Insightly, Really Simple Systems also claims to be the best CRM system for small businesses. This CRM system is free to two users and include 100 accounts, unlimited contacts within those accounts, customer support, tasks and 100 MB of storage. If you decide to upgrade, Really Simple Systems has a very flexible pricing.

Really Simple Systems offers excellent customer support and it is really user-friendly.

One thing reviewers mention as a bad thing, is that Really Simple Systems offers more limited functionality and is not suitable for large businesses.

6. FreeCRM

FreeCRM is another CRM software that claims to be #1 online free CRM software for business! The free version comes with 100 free users, 100,000 contacts and all the other basic features. The upgrade costs $24,95 per user, per month and includes more features, storage and support.

 FreeCRM’s upgraded system is one of the most affordable CRMs on the market for mid to large sized businesses. With FreeCRM, you don’t need to create an  expensive and time-consuming infrastructure to host it on, as it is a web-based solution. This means that anyone can use it easily.

 There are, however, two major drawbacks. The first one is that you only get one year free, and the second is that there is no customer support.

7. Zurmo

Zurmo is open source CRM software. It is unique because it is gamified. Zurmo offers users incentives along the way which, according to this software, makes users better employees. The software sets goals (or ‘missions’) and then gives badges when the goals are complete. Zurmo also allows coworkers to challenge each other to missions, with rewards at the end.

 Zurmo’s preconfigured version has been spun off as its own cloud-based, gamified CRM system called CRM.me. The upgraded fee starts at $35 per user, per month.

 The open source version lacks a few basic features such as social CRM.
